1. General Description of the Information System

1.2 General Description

Scanning attendance tracker information system (SATIS) is designed to record and store student attendance on very day lecture at Albany university to find the correlation between student attendance and their results. The SATIS is a technological based replacement/improvement of the manual attendance system that will save potential time of the class and find the correlation between student attendance and results.

When a student enters a class, they will provide information (ID) to SATIS which will mark their attendance. The student can either swipe their ID card to provide information to SATIS or can input information manually.

1.3 Users and Uses

The users of Scanning attendance tracking information system (SATIS) and how they interact with SATIS.

Student

The student enters the class to take the lecture he/she uses the SATIS to mark attendance so they can be marked present in class.

  1. Input information: The student provides information to SATIS to be marked present in the class.
  2. Attendance marked: once the student provides information to SATIS they will be marked present in the information system.

SAT software

The SATIS (Scanning Attendance Tracking Information System) is designed to find the correlation between the student attendance and their results.

  1. Barcode reader: To read and input student information (ID) in SATIS.
  2. Input fields: for students to input information (ID) manually who did not bring or lost their ID cards.
  3. Finding Correlation between attendance and results: After the data is collected the SATIS will find the correlation between student attendance and their results.

1.4 Instance

A real-life example of student attendance tracking system is proposed by Krenare R. Pireva, Jeton Siqeca and Shkelqim Berisha in their published paper.

(Krenare R et al, 2013, p.1). “RFID is a new technology that became bloomy during the advancement of ICT, which is used for tracking different issues using radio frequencies. There is a wide research and development in this area trying to take maximum advantage of this technology, and in coming years many new applications and research areas will continue to appear. However, this technology brings some concerns in privacy and security to those who try to work and expand the idea of using RFID in different areas. In this paper we propose a new idea how we can track the attendance of our students in an automatic manner by using this technology in an education institution environment and also we will present a prototype of the system which will be based on actual classroom conditions and parameters for solving the daily problems in our universities for tracking students attendance.”

2. External Description of the Information System

The information system exists to mark student attendance and find the correlation between the student attendance and their results.

2.1 Inputs 

The student enters the class and must interact with the tablet. The barcode reader reads student information from the ID card.

  1. Student’s ID: all students have unique IDs to identify them in the database.

2.2 Outputs

Show Attendance status

Once the student inputs their information into the SAT information system. They are marked and shown present in the database.

  1. Marked attendance: The student will be displayed present in the User interface of IS and marked present in the database.

2.3 System Boundary 

External Components

The external components which are already named including the input that are provided by the students. And the output that is provided by the SAT information system.

Internal Components

The internal components include the SATIS (Scanning attendance tracking information system software) to query the GradeCenter database. The GradeCenter database will identify the student ID from the database to mark attendance.

4. Internal Description of Information System

4.1 Information Processors

Information Processor 1

Tablet Device

The portable tablet device (ICT Device) is a computer processor. It has SATIS install locally.

  1. The portable tablet device is used to take student details form student ID card or through student manually and interact with the GradeCenter Database.

SATIS Software

The Scanning attendance tracking information system software is used by the students to mark their attendance and to interact with the GradeCenter database.

  1. SATIS interacts with the GradeCenter database and used student ID to identify the student and mark their attendance.
  2. SATIS collect the attendance data from the database to find the correlation between the student attendance and their results.

4.2 Information Stores

Information Store 1 

GradeCenter database

The GradeCenter database is an information store. It has all the required information of all the student enrolled the class. The information in the database includes:

  1. Student Name – including first name and last name.
  2. Student Address – Where the student lives and official mailing address.
  3. Student Date of birth – The official date of birth.
  4. Student ID – a unique identifier to identify the students in very class.

4.3 Communication Networks

Internal Communication Networks

Wireless network

A wireless network occurs between the SAT information system software and the GradeCenter database.

  1. The GradeCenter database is not a local database for SAT software it is centrally available for all the student of all the class. So, to connect the portable tablet a wireless network is required for the communication between the database and the portable device.

External Communication Networks

Direct interaction

A direct communication occurs between the student and the SATIS software.

  1. The student directly interacts with the SAT information system software through the tablet device. The students can one by one interact with the SATIS software to input their information.
